Registration and Payment Information

Thank you for your interest in joining Suburban Aquatics(SA).

Registration for the 2024-25 season for returning SA families opens on July 24, 2024.

Registration for new swimmers will begin on July 27, 2024.

All program fees and group descriptions are posted under our “Training Programs” tab on the website, so please make sure to review the cost of the program prior to registering. Please also read the group descriptions to ensure you are signing up for the correct/recommended program.

NEW THIS YEAR! If your athlete was registered either Premier or Flex with USA swimming during the 2023-2024 season, you do not need to renew their membership on your Online portal. The athlete will be renewed by SA

Competitive Team Fees

The cost to join SA includes:

  • Registration fee: $250/$150 per swimmer for Year-Round/Seasonal Programs respectively. The Registration fee covers:

    • Securing your space in the program

    • USA Swimming Premier Membership OR Flex Membership (SA will bulk renew athletes who were registered in 2024)

      • Please review the section below on USA Swimming memberships below for more information

    • All new swimmer starting equipment (training bags, kickboard, fins, 2 SA swim cap, plus any other equipment as required by the coaches)

    • Replacement equipment for returning swimmers up to $50 worth of equipment

    • End of the Year Awards Ceremony

    • Please note: This registration fee is due at checkout and is completely non-refundable should you withdraw anytime after registration

  • Program Fees: varies by Group, please view the “Program fees” tab under the “Training Programs” tab

    • Please review our full Financial Policy for a complete list of Discounts & Credits that are available for SA families. 

  • Meet fees are not included in the program fee. These fees will be assessed upon submission of meet entries during the season. Meet fees will be invoiced by email upon submission of meet entries and payment is expected within 30 days. Accounts with outstanding meet fees of more than 30 days will not be permitted to enter a swim meet until the meet fee account is brought current.

 

USA Swimming Registration

All athletes who join SA must also be properly registered with USA Swimming, in order to participate in swim practice, swim meets, and any dryland activities.

New Athletes: If the athlete has never been registered with USA Swimming before or was not registered during the 2023-2024 season, the Parent will receive a link via email and the Parent must register the athlete prior to their first practice. If the athlete is not properly registered with USA swimming, then they will not be allowed to practice with SA. Since New Athletes have to be registered by the Parent directly on the USA Swimming Website, the portion of the Registration Fee that would normally pay for the USA Swimming Membership will instead be credited to the Parent account. The credit can be used towards meets fees, equipment or at the discretion of the Team Manager, be reimbursed in the form of a check. Parents will be instructed on which Membership tier to register for. In general, however, all 13 & Over athletes must be registered Premier ($98). 12 & Under swimmers may be allowed to register Flex ($30), however this option is only available to SA swimmers registered in Seasonal programs and they are limited to two (2) non-championship meets for the entire 2024-2025 season. 

Returning Athletes: If the athlete was registered either Flex or Premier with USA Swimming during the 2023-2024 year, the athlete will be renewed by SA. As stated above, all 13 & Over swimmers regardless of which program they are in will be registered as Premier. Any 12 & Under Swimmer enrolled in a Seasonal Program will be renewed as Flex.

Please note: Memberships cannot be downgraded. For example, you cannot go from a Premier Membership to a Flex membership. They can be upgraded, however, and the Parent/Guardian will be responsible for the cost difference between membership tiers. 

Payment Plans

For the 2024-25 Season, there are two payment plans which you can choose at registration.

  • Pay in Full: The Program Fees will be charged in full on September 10. Any account paid in full by September 10th will receive a 5% (of the program fee) discount.

  • 4 installments (only available for year round programs):  On September 1, you will be invoiced 1/4 of the Program Fees. Additional payments will be invoiced October 1, November 1, and December 1 for registrations prior to September 1.

  • 8 installments (only available for year round programs): On September 1, you will be invoiced 1/8 of the Program Fees. Additional payments will be invoiced October 1, November 1, December 1, January 1, February 1, March 1, and April 1 for registrations prior to September 1.
    • Registrations after September 10 will have their additional payments starting on October 10.

Payment Methods & Billing

  • The Registration fee will be due at checkout and billed through the SA website. 

    • Checks/Cash will not be accepted.

    • Credit Card ONLY

  • All subsequent Program fees, meet fees, equipment, gear etc will be billed via TeamUnify. Invoices will be sent out via email and can be paid online via Credit Card. Check and/or cash will NOT be accepted as payment for Program Fees and Meet Fees.

  • Important! Payments will be automatically drafted. The Parent/Guardian will receive an invoice on the 1st of the month, the Credit Card on file will be charged on the 10th of the month.

  • Please be sure to read the entire Financial Policy before agreeing to it in Registration.

 

Volunteer Policy

The three (3) meets we host are an important part of funding the programs of SA. These meets serve as a convenience to our families in terms of location and also support the PVS community since PVS cannot host enough meets to serve all its athletes. A major challenge is staffing our meets with enough volunteers. SA parents are asked to support our meets in two ways.

1. Food Donation for the Hospitality Table:

All SA Families are asked to contribute $20 worth of items to the Hospitality Table. Examples are: 2 Liter bottles of Name brand sodas, case of bottled water, juice, Gatorade and a bakery item.

2. Each family who has a swimmer competing in a SA hosted meet is expected to work the entire session your swimmer swims up to 2 sessions per meet. Jobs sign up appears under each swim meet event so it is easy to sign up. 

3. All other SA families are asked to volunteer 2 - 5 hours at Christmas Champs December 6-8, 2024.

Accounts entered in a SA meet will be reviewed at the end of the year and any account that has not met the required service hours for any meet will be assessed a volunteer service fee of $50.00 per meet  not worked.

In addition, parents who volunteer and work for at least 2 full sessions at the SA run meets will have their meet fees waived for that meet.

Christmas Champs - Dec. 6-8, 2024
Spring Champs - March 21-23, 2025
Early Bird Long Course Meet - May 3-4, 2025

 

Responsibility for Payment of Fees

Your Registration Fee for the SA program is not refundable once submitted.

Parents are responsible for the payment of all fees for the full season.

If your swimmer does not wish to complete the season and withdraws from the program for any reason after September 30th, parents are responsible for payment of the full contracted Program Fee and any outstanding Meet Fees to SA.  All pool rental and coaching contracts are executed prior to the start of the season based upon our registration numbers and thus full program fees are essential to SA's operating costs. 

Refunds

The first two weeks of practice September 16 – September 27, 2024 is considered a “trial period” and your swimmer may withdraw during this period having only paid the Registration Fee. Any credit on the account will be refunded.

However, if the swimmer withdraws after September 28th, SA is not able to provide a refund. All pool rental and coaching contracts are executed prior to the start of the season based upon our registration numbers. Exceptions may be made for military families leaving the area in service to our country and medical reasons with supporting documentation. If a swimmer decides to not complete the full season with SA, the family remains responsible for any outstanding Program fees, Meet fees, and/or equipment fees. 

Proration

All pool rental and coaching contracts are executed prior to the start of the season based upon our registration numbers. Therefore, there is no proportion of fees for partial attendance of a program. 

Late Payment

Program fees will be invoiced and sent by email on the first of each month. Payment is due by the 10th of the month. The charge for a late payment is $30 and will be assessed to your account. Accounts over 30 days past due will be ineligible to register for swim meets. Accounts 50 days past due may be subject to suspension of training privileges
